Privacy Policy

What we collect, why, who we share it with, and what you can do about it.

RecycleIQ is subscription software that auto-recycling and salvage yards use to run their operation — vehicle inventory, yard mapping, parts-pull work orders, crew tasks, customer notifications, and reporting. We are a Canadian company operating out of Edmonton, Alberta.

This policy explains what information we collect, why we collect it, who we share it with, and what you can do about it. If anything here is unclear, email us at hello@recycleiq.io and we'll answer in plain English.

Who this policy covers

There are three different groups of people involved, and we treat their information differently:

What we collect from website visitors

The "Book a demo" form

When you request a demo, we collect your name, your shop or business name, your phone number, your email address, the number of yards you run, and an optional message.

We store that in our own database and use it for one thing: contacting you about RecycleIQ. When you submit the form, our staff get an email and text message notification so someone can follow up. We don't sell it, rent it, or add you to unrelated marketing lists.

Analytics

We use Google Analytics 4 and Microsoft Clarity on this marketing site. These tools may collect information such as which pages you viewed, roughly where you are located (city or region level, based on IP address), what device and browser you're using, and how you moved through the site. Microsoft Clarity also records session replays and heatmaps of on-page interactions like clicks and scrolling.

We use this to understand which pages are useful and where people get stuck. We don't use it to identify you personally.

What we collect through the RecycleIQ software

When a yard subscribes, the data in their account typically includes:

The subscribing yard decides what goes into their account. They are responsible for making sure they have the right to collect and use the customer information they enter.

How we use information

We do not sell personal information.

Consent under PIPEDA

We're subject to Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Under PIPEDA we need your consent to collect, use, or disclose your personal information, and we can only use it for purposes a reasonable person would consider appropriate.

In practice that means:

Cookies and similar technologies

Our website and the RecycleIQ app use cookies and similar storage for two purposes: keeping you logged in and keeping your session working, and the analytics described above. You can block or delete cookies in your browser settings, but the app will not work properly without the ones needed to sign in.

Service providers we use

We rely on a small number of third-party providers to run RecycleIQ. Each of them handles a specific job:

Some of these providers operate outside Canada. That means certain information may be processed or stored outside Canada and could be accessible to the courts, law enforcement, or national security authorities of those countries. We use providers that offer commercially standard contractual and security protections, but we can't put them beyond the reach of foreign law.

We may also disclose information where we're legally required to — for example, in response to a valid court order or lawful demand.

Staff access to customer data

We want to be straightforward about this instead of burying it.

RecycleIQ staff can access a customer's data when it's needed to operate, support, troubleshoot, or maintain the service. This is normal for a hosted software product — it's how we fix a broken work order, recover data, investigate an error, or answer a support question. It isn't a loophole; it's how the service gets run.

What we do around it:

We are not claiming that our staff can never see your data, because that would not be true.

Separation between customers

Each subscribing yard's data is isolated from every other yard's. One RecycleIQ customer cannot see, search, or access another customer's inventory, work orders, staff, or customer lists.

Where your data is stored

Application data is hosted on Supabase (Postgres) in a Canadian region. As noted above, some supporting services — payments, SMS, email, AI, analytics — are operated by providers based outside Canada and process the limited data needed for their function.

Security

We take reasonable steps to protect the information we hold, including:

No system is perfectly secure, and we can't guarantee that a breach will never happen. If a breach creates a real risk of significant harm to you, we'll notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.

How long we keep data

Aggregated and de-identified data — information that no longer identifies any person or business — may be retained and used to improve the service and its AI features.

Your privacy rights

Under PIPEDA you have the right to:

To exercise any of these, email hello@recycleiq.io. We'll confirm your identity first, then respond within the timelines PIPEDA sets out. There's no charge for a normal request.

If you're the customer of a yard that uses RecycleIQ and you want your details corrected or removed, contact that yard directly — the data is theirs and they control it. If you contact us instead, we'll pass your request along to them.

If you're not satisfied with how we've handled a privacy issue, you can contact the Office of the Privacy Commissioner of Canada.

Text messages and emails

RecycleIQ sends texts and emails on behalf of subscribing yards — order updates, pickup notifications, and similar operational messages. Subscribing yards are responsible for having consent from their own customers before adding them to the system.

Message and data rates may apply to text messages depending on your mobile plan.

Children

RecycleIQ is business software. It isn't directed at children, and we don't knowingly collect personal information from anyone under 18. If we learn that we have, we'll delete it.

Changes to this policy

We may update this policy as the product changes or as the law requires. We'll update the "Last updated" date at the top, and for significant changes affecting subscribing customers we'll give notice by email or in the app.
